Chatbot pricing questions: how to answer «how much is it?»
A customer asking the price is the one closest to buying, yet teams either send a number and go quiet or hide the price behind a phone number — and either way the customer leaves. «Price?» — the most common message, and the most often lost
A large share of first messages on Instagram, WhatsApp and websites is one word: «price?». Teams answer it in one of two wrong ways. The first is to send the number and go quiet — the customer learns the price and leaves. The second is to hide it: «Send your number for details» — the customer reads that as manipulation and leaves anyway.
A chatbot can answer this question while avoiding both mistakes, but only when the rule is written down. This article covers the kinds of price question, what the bot should and should not say, how to handle services priced individually, and how to turn a price answer into a lead.
Five kinds of price question
«Price?» looks the same every time, but five different situations can sit behind it, and each needs a different answer.
- A specific product at a fixed priceThe customer asks about a product from a post or the catalogue. The answer is the number plus one useful detail: delivery, stock, a variant.
- A service priced by scopeRenovation, cleaning, design, a training programme. There is no exact number, but there is a range and the factors that move it.
- A package or planSeveral options: basic, standard, premium. Showing the two that fit the need is more useful than listing all of them.
- A comparison«It is cheaper elsewhere» or «why so expensive?». This is not a price question; it is a value question.
- A discount question«Any discount?», «has the promotion ended?». The answer must rest only on an active, approved promotion.
What the bot should say
- The approved price or range, openly — not hidden
- What changes the price, in one sentence: area, duration, material, quantity
- What is included in the price and what is not
- Any active promotion and its end date
- The next step: a measurement, a consultation, a catalogue, an order

What the bot must not say
- A price that is not in the knowledge base, or is out of date
- A personal discount, a «special offer for you», or «talk to a manager, we will lower it»
- Claims about competitors' prices
- Pressure lines saying the price is «final»
- That the price will be given only in exchange for a phone number
Services priced individually
Clinics, renovation, legal services, corporate training — here «how much?» has no exact answer. But «we don't know» is not an answer either. A model that works has three parts:
- Range«This service usually costs between X and Y.» The range must be one its owner approved.
- Factors«The exact price depends on the area, the materials and the timeline.»
- How to get the exact figure«It is calculated precisely during a free measurement or consultation. Which day suits you?»
This model is honest and moves the conversation on. The customer hears the range, decides whether it fits their budget and, if it does, agrees to a meeting.
Example conversation: from price to lead

- Bot«Kitchens are priced by size and material: standard laminate is roughly [range] per metre, acrylic or solid wood higher. About how long is your kitchen?»

- ResultThe customer sends the district and a number. The salesperson sees on the card: corner kitchen, 3.5 m, interested in laminate, estimate given, measurement requested.
Comparison and discount questions
To «it is cheaper elsewhere» the bot should neither argue nor run down the competitor. Its job is to explain honestly what the price includes: warranty, delivery, installation, materials. The customer makes the comparison.
On discounts, the bot names only an active promotion. If there is none, it says so. If the customer insists — «can I talk to a manager?» — the conversation goes to a person, but the bot promises no discount. A discount is for someone with the authority to grant it.
Channel differences: comment, DM and website
The same price question is answered differently on different channels, because different people see the answer.
- Public commentEveryone sees the reply — competitors included. Many businesses do not post the price here and say «check your DM». That is acceptable on one condition: the DM gives the price immediately. Saying «DM» in the comment and then hiding the price in DM loses trust twice.
- DM and WhatsAppA private conversation: the price is given openly and a need question follows. If the post the customer came from is known, the price is for that product, not a general list.
- Website widgetThe visitor is often already on the pricing page. They have seen the price; the question is different: «what does this plan include?», «what if I pay yearly?». The bot should not repeat the number on the page but explain the difference.
Who owns price information, and how often it is updated
Prices are the fastest-ageing information a bot holds, so three things should be agreed in advance.
- Owner: who approves prices and ranges and who enters them — usually the head of sales
- Rhythm: when the price list is checked — weekly, monthly or at every change
- Promotion rule: every promotion is entered with start and end dates and deactivated on the last day
- Range rule: for individually priced services, the range should cover most real orders
Price information without an owner goes stale within weeks, and the bot starts quoting wrong numbers. The fix for that risk is organisational, not technical.
Measuring the price answer
- Share of customers who keep the conversation going after the price question
- How many price conversations end with a phone number, a meeting or an order
- Cases where the customer asks the same price twice — the answer was unclear
- Price questions where the bot said «I don't know» — a gap in the knowledge base
- Cases where a salesperson had to correct a price the bot gave — stale information
Limits
The bot can only quote the prices it is given. If the price list changes daily — tied to an exchange rate, for example — either a live data source is connected or the bot works with a range and the note «the exact price is confirmed with the order». Tenders, wholesale and contract prices are always a person's job.
