Brand mention tracking when your name is misspelled

Monitoring that tracks only the official spelling misses most posts. How to collect the real spellings of your brand name and keep the noise down.

Short answer

To find mentions when your brand name is misspelled, you need a list of every real spelling of the name: how Azerbaijani letters get replaced on a Latin keyboard (ə→e, ş→sh, ç→ch), the Cyrillic spelling, forms with suffixes, joined and separate spellings, abbreviations and typical typos. Then you check whether each variant brings noise and separate the name from words that mean something else. The list is not a one-off — it is updated every month with newly found spellings.

Why this matters especially in Azerbaijan

In Azerbaijan people write the same word in at least three ways: with proper Azerbaijani letters, on a keyboard without them (e or a instead of ə, sh or s instead of ş), and in Cyrillic. Add an audience that writes in Russian and English. A brand called "Gülər Şirniyyat" may appear on a forum as "Guler Shirniyyat", "Guler sirniyyat" or "Гюляр Ширнийят". Monitoring that searches only the official spelling misses most of these posts.

The second feature is suffixes. Azerbaijani is agglutinative: "Gülərdən aldım" (I bought from the brand), "Gülərin tortu" (the brand's cake), "Gülərdə növbə var" (there's a queue there) — each is a different word form. If the search works by exact word match, none of these are found.

The variant list: seven sources

  • Letter substitutions: ə→e/a, ş→sh/s, ç→ch/c, ğ→g/gh, ı→i, ö→o, ü→u. Write the two most common variants for each letter.
  • Cyrillic spelling: how the name sounds and is written in Russian; there may be several variants.
  • Latin transliterations: the form used in English-language posts.
  • Joined and separate spellings: "Gulershirniyyat", "Guler-Shirniyyat", "Guler Shirniyyat".
  • Abbreviations and nicknames: the short name customers use in conversation.
  • Typical typos: neighbouring keys, missing or doubled letters.
  • Account handles and domains: @guler_shirniyyat, gulershirniyyat.az — they also appear in link text.

How to collect variants

  1. A desk exerciseAsk five people on the team to write the name quickly and without Azerbaijani letters. That gives the first 15–20 variants.
  2. Look at your own channelsHow do customers spell your name in messages and comments to you? That is the best sample of real usage.
  3. Check in search enginesSearch each variant: do the results concern your brand or something else?
  4. Update after a monthIf monitoring results show a new spelling, add it to the list.

Name collisions: the biggest risk

The more variants you add, the lower the precision. "Bravo" can be a supermarket, a word of praise and a film title. "Gülər" is both a brand and a woman's name. In such cases there are three routes:

  • Pair the name with another word: "Gülər" + "cake", "sweets", "branch", "order".
  • Use whole-word mode: when "Bravo" is a short, common word, catching suffixed forms ruins precision.
  • Write exclusions: words that separate posts about a film, a person or another company.
  • Record the name's other meanings in the brand profile so that whoever — or whatever — reads the post can tell them apart.

Testing the value of each variant

Judge every variant on two numbers: how many results it brings and what share of them are actually about your brand. A variant with many results and low precision should be narrowed with an extra word or dropped. A variant with few results and high precision stays — these are usually the most valuable posts, because nobody else sees them.

Illustrative example

This is an illustrative example. An optician chain called "Çiçək Optika" tracked only its official name. After building a variant list it added "Cicek optika", "Chichek optika" and "Чичек оптика". In the first week the "Cicek" variant brought hundreds of posts about flower shops ("çiçək" means flower) — so it was kept only together with "optika", "glasses" or "lens". The Cyrillic variant, meanwhile, found an unanswered complaint on a Russian-language forum about a broken frame.

How to maintain the list

Keep the variant list in one table: variant, sample post, mode (suffixes or whole word), whether an extra word is required, date last checked and a precision note. Give the list an owner — adding a new variant or dropping an old one is their call. Keep the same table for competitors: their names get misspelled too.

Common mistakes

  • Tracking only the official spelling.
  • Forgetting Cyrillic and Russian-language variants.
  • Adding a short, common word with no extra condition.
  • Writing the list once and never updating it.
  • Ignoring handles and domains — a name in link text is a mention too.

Limitations

Even the best variant list only works in the sources you watch. A logo in an image, a spoken video or a post with no text will not be found by word search. Very short and common names will always produce some wrong results — the realistic goal is to keep them at a manageable level, not to bring them to zero.

Spelling variants in Vexvon Monitoring
