AI telesales for real estate: interest to viewing

For a developer, sales do not run listing by listing: there is a project, its plans, a price table and a list of remaining units — advertising is built around the project and leads arrive in waves. At the peak of the wave some leads never reach a conversation. This article builds the call flow end to end in project sales: the five steps from interest to a viewing, confirming the viewing, four campaign types, what the script asks and does not ask, and the follow-up after the viewing.

Selling a project is not selling listings

For a developer, sales do not run listing by listing: there is a project, its floor plans, a price table, a construction stage and a list of remaining units. Advertising is built around the project, and the lead flow arrives in waves — volume rises when a campaign starts and falls when it ends.

That creates a specific problem for the sales team. At the peak of the wave it is not possible to answer every lead at the same speed; at the bottom the team sits idle. The result is that on the most expensive days of the campaign some leads never reach a conversation at all.

This article is about building the call flow end to end in project sales: how interest is processed, how a viewing is booked and confirmed, which campaign types work, and what happens after the viewing.

The flow from interest to viewing

The flow that works has five steps, and each leaves its output in the CRM.

  1. Interest is recordedSource, project, the unit type viewed and the context. Without this the first call is generic, and a generic call produces nothing.
  2. The first touch is fastThe goal is not to sell but to establish fit and offer a viewing. Why response time is decisive is its own subject.
  3. Qualification happensBudget range, unit type, payment method, timeframe and who decides. More than five questions is out of place on a first call.
  4. A viewing is bookedA specific day and hour, the sales office address, who will meet them. «Come and have a look» is not a booking.
  5. The viewing is confirmedA confirmation touch the day before. Without it a share of booked viewings does not happen.

Booking a viewing is not enough

In property sales the quietest loss in the pipeline is viewings that were booked and did not happen. Booking shows movement in the report; a viewing that never took place usually leaves nothing behind and no reason.

  • As soon as it is booked, day, hour, address and the person meeting them are confirmed to the customer
  • A confirmation touch the day before: are you coming, does the time still work
  • Directions and access details are sent — on a construction site this matters in its own right
  • A customer who did not arrive is called the next day rather than the same one, and asked why
  • A lead that misses twice moves to a different stage: rebooking stops and long-term nurturing begins

The third line looks minor and is one of the real causes of missed viewings on projects under construction: the customer cannot find the address, the entrance is closed, security does not let them through. One message closes that.

Which campaigns work

Calling campaigns in project sales can be built independently of the advertising campaign. Four types produce results in practice.

  1. A new project or a new blockThe base: leads who showed interest before and did not buy. The reason is obvious and the call is logical — a new option exists.
  2. A change in price or termsWhen payment terms change there is a reason to go back to everyone who said the budget did not work. If that segment is kept in the CRM with a close reason, the campaign takes an hour to build.
  3. A construction milestone«The frame is finished», «the facade has started» matter to a hesitant buyer, because they change the perception of risk.
  4. The list of remaining unitsTowards the end of a project specific types run low. That is not artificial urgency — it is real information and should be presented as such.

One rule matters in the fourth type: the number has to be true. Inventing scarcity raises viewing counts in the short term and lowers the value of the company's word in the long one.

The script: what is asked and what is not

The first call's script is short and its purpose is to book a viewing. The split below works in practice.

  • Asked: which project and unit type, how many rooms, by when they need it
  • Asked: payment method — cash, mortgage, instalments — without going into detail
  • Asked: which day suits for a viewing
  • Not asked: an exact budget figure — a range is enough and does not close people up
  • Not asked: personal financial details, credit history, family circumstances

After the viewing: the decision takes longer than a day

Buying a home is a long decision and does not end with one viewing. Follow-up after the viewing is where most of the sale is lost, because the agent moves on to new leads and older viewings fall behind.

  • One or two days after: impressions and remaining questions
  • Any specific objection is recorded — price, floor, layout, handover date
  • A second viewing, or a viewing with the family, is offered
  • A customer who needs time gets a specific date, recorded as a reminder
  • A customer who does not buy is not closed: the reason is written and they enter the segment of the next campaign

That last line is particularly valuable in project sales, because the same customer can become a real buyer in the next block or under changed terms. A lost lead with no recorded reason cannot be used in any campaign.

Limits

What is not automated here is clear, and it protects the company.

Discounts, payment schedules and contract terms are decisions for the sales manager and the management. Questions about legal status — documentation, handover dates, obligations — are answered only from approved information, and handed to a person whenever there is doubt.

  • Lead-to-viewing rate, per campaign and per source
  • Viewing attendance rate, separately for viewings with and without a confirmation touch
  • Second-viewing rate
  • Average decision time — from first interest to purchase
  • Distribution of close reasons — price, floor, handover date, finance
